About the role:
  
This is an exciting opportunity for an Office Services Assistant to join an established team. You will be an integral member of the team providing administrational and ad-hoc assistance across the practice. Responsibilities include: 
  • Communicate with all staff at all levels in a professional manner, both over the phone and face-to-face
  • Complete tasks relating to the set-up of new staff and the efficient completion of office relocations.
  • Cleaning suppling and maintaining the staff hub kitchen including stacking/unstacking dishwashers, wiping down surfaces and replenishing supplies and cleaning the coffee machine.
  • Printing photocopying and scanning tasks to the satisfaction of our clients. This includes where these tasks are outsourced to an external print and photocopying supplier. 
  • Ensure all office services job requests including but not limited to banking, GPO mail collections, hand deliveries, lodgement of files at various government registries and filing of court documents as required by our internal clients.
  • Ensure the accurate and timely distribution of hard copy mail including incoming facsimiles to their intended recipient or relevant member of the practice.
  • Courier desk duties including booking and receiving couriers both domestic and international. Advising staff that a package has arrived and delivering them internally as required or directed.  Tracking and communicating with staff regarding delivery of domestic and international parcels via email or face to face conversations.
  • Work with the Reception team to ensure the re-arrangement of the reception meeting rooms in preparation for events and meetings when requested
  • Ensure the practice has the stationery, paper, office products and kitchen supplies required for the efficient running of the office collection of files from around the office for archiving and delivering them to the archiving area.
  • Trained on and the ability to cover reception when required.
  • Assist with ad-hoc jobs around the office as required
  • Following all CBP procedures and ensuring all internal documentation is kept up to date.
  • Updating Office Services request portal and liaise with all staff, both over the phone and face-to face regarding their requests and offering assistance where required
  • Any other task which assists or supports the practice and is requested by the partners, management or clients of CBP from time to time.
About you:
  • 1 years' experience in a similar role and environment.
  • Excellent verbal and written communication skills.
  • Ability to communicate with staff and clients at all levels.
  • Ability to work under pressure, respond promptly, effectively and remain calm.
  • Ability to prioritise and successfully complete projects.
  • Excellent interpersonal skills.
  • Focus on providing a high level of client service to internal and external clients.
  • Focus on working as part of a team to meet key accountabilities.
